Create and issue a warranty
Understand the fields in the warranty form and what customers see.
Access and allowance
Owners, Admins, and Staff can issue warranties. Technicians cannot. The workspace must have remaining allowance; each new warranty uses one issuance even if it is later voided.
Choose the customer
- Enter the customer name and phone number. Choose the phone country and check the full number.
- Search by name, phone, or email and select the existing customer if appropriate. Email is optional, but enables warranty emails and helps the customer find the warranty in their verified account.
- Review the selected customer details. Edits made here apply to this warranty only, not the saved customer profile.
How customer matching works
Without an explicit customer selection, an exact saved phone number reuses that customer and their saved contact details. Warly does not merge customers simply because they have the same name. To update the saved profile, use Customers before issuing. Previously issued contact details are not rewritten by profile edits.
Choose the product
Enter a product name, brand, model, optional SKU, and optional serial number. Field labels adapt to the business category. Search by product name, model, or SKU to reuse catalog details, photo, duration, and terms. Review them for the actual sale.
Selecting a product saves its details on this warranty. Later catalog edits do not change issued warranties. Use Use these details without catalog association if you want to keep the filled details without selecting that catalog item.
Set coverage
Choose the purchase date, then a listed duration or Custom duration in months from 1 to 120. The form does not allow a future purchase date. Review Covered until before saving. Coverage is calculated from the purchase date, not from the date you enter the warranty.
Enter the warranty terms the customer should see. Defaults are a starting point; check coverage and exclusions for this sale. An authorized Owner or Admin can later extend a non-void warranty.
Optional details and files
Expand the optional section for category, invoice/reference, purchase price and currency, internal notes, and files. Internal notes, prices, receipts, and invoices are not shown on the public certificate. Product photos can appear in public sharing previews, so upload only suitable product images.
Save and check
Select Activate warranty once the form is complete and uploads have finished. Review the success screen and public warranty page. Warly sends a warranty email when a customer email is recorded and delivery is available; a missing email does not mean activation failed.
