Claim and service notes

Internal claim notes are for workspace claim reviewers and are excluded from customer history. Treat resolution information as customer-facing. Service notes remain in the workspace and can be read by authorized service viewers. Do not put secrets in a product name, warranty terms, or product-photo image; those can be public.

Claims have separate role permissions from warranty assignment. A Technician can review claims even when the related warranty is not assigned to them. Use the role guide when deciding who should join your team.

Protect public links and files

Share a warranty link or QR code with the intended recipient. Public visibility is limited, but anyone with the link can see that view. A QR code or short warranty ID is not customer authentication.

Upload a receipt as Receipt or Invoice, not Product photo. Private files should be opened from their record by an authorized member. There is no current merchant control to delete a warranty, customer, catalog product, or issued attachment; use a privacy request to Warly when needed.
