Understand team roles

A practical comparison of Owner, Admin, Staff, and Technician access.

Choose a role for the work

The table shows the standard workspace permissions. Plan availability and record-specific restrictions still apply. Your role belongs to a workspace, so it can differ between businesses.

Important restrictions

  • Owner: can manage billing and start the trial, invite Admins, and manage eligible members. The Team page cannot remove the Owner or change the Owner role.
  • Admin: can view Plan & billing but cannot manage billing or start a trial. An Admin cannot grant the Admin role or manage another Admin.
  • Staff: can create and edit warranties, customers, and products; upload warranty files; add service records; and update claims. Staff cannot import CSV, extend/void warranties, edit saved service records, manage teams/settings, or open billing.
  • Technician: sees only assigned warranties, with private warranty details hidden; can create service records and edit only their own. Service cost is unavailable. Technicians cannot manage customers, products, imports, teams, settings, or billing.
  • Claims: all four workspace roles can view and update claims when the plan allows. Staff and Technicians can approve but cannot reject, resolve, or close claims. Claim review is not restricted by the warranty assignment filter, so a claim can be visible even when its warranty detail is unavailable to a Technician.
  • Reporting: only Owners and Admins on Scale can view, generate, save, manage, or export reports. Staff and Technicians cannot.
  • Customer access/email requests: Owners, Admins, and Staff can decide them; Technicians cannot. Partner status alone grants no membership of a referred merchant’s workspace.

When an action is unavailable

Check the selected workspace and plan, then ask the Owner to review your role. A Technician with no assigned warranty may see an empty warranty list. The current workspace forms do not provide a technician-assignment control; ask the Owner to contact Warly if assignment needs correcting.
